ORBIT (Online Referral Business Intelligence Tool) is a non-PHI online tool that allows health system planners to visualize almost real time referral and wait time data.
ORBIT (Online Referral Business Intelligence Tool) provides users with the capability to view almost real time referral and wait time information for their organization and partner organizations in an intuitive, dynamic and user friendly manner. The tool also provides users with added functionality on how the information can be viewed and provides features such as a dashboard view which will report on the information at a care type level.
ORBIT provides information related to:
- Referral volumes
- Responses/Access to care
- Referral timelines/processes
ORBIT allows full customization of the referral data you view. Customization options include:
- Sending/Receiving Locations and/or Units
- Date filters
- Referral outcome reasons
- Helps understand business process gaps, support efficient resource allocation and infrastructure development. With pertinent referral data, RM&R users can make more informed decisions to better the healthcare system for clinicians and patients.
- Empowers users to improve their own business processes to maximize performance and minimize referral delays.
- Active use of ORBIT not only reduced the urgency of custom report needs but also led to revealing underlying facts and further analysis to answer strategic planning. Therefore, ORBIT has become a catalyst for deeper dive analysis to target problem areas.
- Helps to monitor volumes (referrals sent, acceptances, admissions) and metrics (response times, admissions wait times, denials, RFIs).
Key Performance Indicator (KPI)
A KPI can be defined as providing the most important performance information that enables the organizations or their stakeholders to understand whether the organization is on track or not. It’s a factor used to measure and explain progress towards an identified program goal.
To better understand how organizations used KPIs to improve business processes using ORBIT, please see sample scenario below (figure 1):
First step: Sending facility initiates and completes a referral form for the client and sends it to a Rehab facility through RM&R application.
Second step: Rehab Facility receives referral and responds with either Accept, Deny, or Request For Information.
Note: Request for Information (RFI) will be issued only if the receiving facility requires additional information before accepting or denying a client. In this case the Sending facility updates the referral and sends it back to receiving Rehab facility.
Third step: Finally the Receiving facility is able to make a decision: accept or deny
